Position Overview

The Admissions Coordinator is a critical member of the admissions department, a dynamic and evolving team responsible for recruiting, selecting, and welcoming an outstanding and mission-aligned group of students and families to our campus every year. Often the first point of contact with outside families and prospective students, the position requires a warm, engaging personality and a person who believes in our mission and enjoys interacting with the public on behalf of the school.

 

The Admissions Coordinator will participate in all aspects of the admissions process from inquiry to enrollment. A successful candidate will possess excellent interpersonal and organizational skills, a collaborative mindset, a strong customer service orientation, a strong work ethic, and believe in the mission of Open Window School—to nurture and inspire students of high intellectual potential. This is a position for a highly organized, detail-oriented individual who wants to work in a fast paced, joyful, collaborative environment and manage multiple tasks simultaneously. A sense of humor is helpful.

 

Major Areas of Responsibility:

  • Demonstrate a clear understanding of the mission of Open Window School and be able to be an advocate for Open Window while supporting the school and its leadership.
  • Work to honor and uphold the principles and goals of diversity, equity, inclusion, and belonging in the best interest of prospective students and families, current students and families, and staff.
  • Provide administrative support for the Director of Enrollment Management.
  • Accurately track applicant data from inquiry through enrollment; manage online student record information to ensure accuracy and integrity of data for incoming inquiries and applications.
  • Manage responses to admissions emails and phone calls.
  • Coordinate and track all admissions-related events, including campus tours and admissions appointments with prospective students and families; assist with hosting applicants and campus tours.
  • Maintain accurate, updated, and timely academic records for each student.
  • Own and manage back to school forms for lower and middle school.
  • Perform other duties and responsibilities as assigned.

 

Skills:

  • Three or more years of admissions related experience preferred.
  • Knowledge of or experience with gifted education is a plus.
  • Excellent written and verbal skills.
  • Strong computer skills and proficient user of Microsoft Office, and a willingness to learn new technology as needed. Proficiency in Ravenna admissions management software preferred but not required.
  • Discretion and professional handling of sensitive and confidential information.
  • Bachelor’s Degree and/or relevant experience.

Position Details:

Manager: Director of Strategic Program Development and Enrollment Management

Compensation: $31.00 – $37.00 per hour

Position Classification: Non-Exempt, Full Time, 12 months

Hours: Core business hours of 7:30am – 4pm, occasional weekend and evening work required.
