About the Organization
Located just north of Seattle in Shoreline, Washington, The Evergreen School has been educating highly capable, creative learners for 60 years. The Opportunity
The Administrative Assistant will support the head and assistant head of the Upper Division, grades 4 through 8. Duties include compiling data, scheduling meetings, answering phones, maintaining calendars and budgets, managing grade 8 graduation and other administrative tasks. This is a 12-month position, requiring summer work.
Duties and Responsibilities
Perform general administrative work in support of the head and assistant head of the Upper Division. This includes managing division calendars, making phone calls, and scheduling meetings with members of the school’s diverse community: parents and guardians, students, faculty and staff, and outside providers.
Compile data for division heads and internal reporting.
Maintain daily attendance records for Upper Division students and faculty/staff.
Schedule yearly standardized testing and manage testing accommodations with timely communications with all stakeholders.
Coordinate and support communication between faculty and parents/guardians including twice yearly narrative reports, and regular communication using Veracross.
Develop and maintain family conferences schedule; build calendar, and assign conference spaces.
Supporting the planning and coordination of the school’s Middle Arts program,
Support logistics of upper division hiring procedures
Support the planning and implementation of the division’s yearly course schedule and teacher matrix
Lead and assist in the planning and execution of Upper Division events, working independently and collaboratively with various stakeholders and working to reserve and coordinate the use of school spaces.
Coordinate and oversee a number of daily operations in the upper division, including substitute teacher coverage, recess coverage, and morning pick-up and afternoon drop-off coverage.
Handle the “business side “ of the division, such as maintaining accurate records and assigning budget codes, providing statements to budget owners, processing purchases and check requests, and assembling timesheets for payroll.
Handle confidential information with discretion and professionalism.
Occasionally fill in at the front desk as needed.
Support, promote and implement The Evergreen School policies and procedures.
Other duties as assigned.
Experience and Desired Qualifications
Bachelor’s degree preferred with a minimum of two years of administrative experience.
Independent school experience is a plus.
Excellent communications abilities with very strong writing, editing and proofreading skills. Oral communications skills must also be strong. English is the school’s primary language.
Must be proficient in Google Suite, Microsoft Word, PowerPoint and Excel with solid database management skills. Working knowledge of Veracross and Canvas is a plus.
Be vigilant about student health and safety.
Physical Requirements
Able to lift up to 35 pounds; move around campus, can stand for long periods of time, ascend or traverse building floors, can work in front of computer screens and communicate via phone, email and through in person meetings, able to use hands for repetitive tasks such as typing and collating; must be able to work outside (sometimes in cold and wet weather).

Position Details: This is a salaried non-exempt 1.0 FTE full-time, benefits-eligible position that reports to the head of the upper division. The role is for the 2023-2024 school and is available immediately.
Salary Range: This position follows a 12-month work schedule. The salary is dependent upon education degree(s) and years of experience and is in the range of $55,000 to $63,000.
