University Prep (UPrep) is seeking a talented Accounting Assistant to work in our Business Office.  We are looking for someone who is detail oriented and can work effectively independently as well as part of a team.  We need someone who shares our belief that a culturally rich and inclusive school community provides students with the best possible environment for a quality education.  If that sounds like you, we’d like to hear from you.

Job Summary:

Under general supervision of the Controller and working directly with the AP/AR Manager and Payroll Manager/HR Specialist, the Accounting Assistant processes data into the accounts payable system while maintaining AP files, assists in maintaining the student billing system and assists in payroll & benefits processing.

Specific Responsibilities:

Accounts Payable

  • Process AP checks and other documents
  • Review and process monthly credit card statements
  • Maintain annual vendor/check payment files
  • Assist in maintaining Paymerang payment platform
  • Reconcile and processes Petty Cash on a monthly basis or as needed

Accounts receivable

  • Assist in maintaining the Veracross billing platform and upload transactions to MIP accounting software

Month-End

  • Assist with monthly bank reconciliation
  • Assist with generating monthly budget reports to budget managers

Payroll and Human Resources

  • Collect faculty absence reports input exception hours into Paycom
  • Send monthly reminders to faculty/staff for timecard recording/approving deadlines
  • Assist in onboarding new employees, including Paycom training and support to faculty and staff
  • Assist in executing employee contracts
  • Assist with monthly HSA, FSA, 401k, deduction reports & performs General Ledger analysis as needed
  • Assist with annual wellness fair, benefits open enrollment and other HR events
  • Serve as a backup to the Payroll Manager/HR Specialist on payroll processing

General

  • Provide excellent customer service and is flexible in dealing with others
  • Maintain 100% confidentiality at all times
  • Establish and cultivate community relations by maintaining open dialogue with all of the school’s constituencies
  • Actively participate in the full life of the school
  • Vigorously engage in their own professional development; is a life-long learner who enhances their skills, using state-of-the-art technologies to maintain high standards of performance to efficiently and effectively produce work products
  • Is familiar with and complies with all policies and regulations as put forth in the school’s documents
  • Since safety and security are everyone’s responsibility, take all necessary and reasonable precautions to protect students, faculty, staff, equipment, materials and facilities
  • Perform other duties as assigned

Required Education & Experience:

  • Associates degree with Business/Accounting emphasis, or equivalent experience required
  • Bachelor’s degree from an accredited four-year college or university a plus
  •  3+ years’ experience in Accounting/Finance/Business Office preferred

Required Knowledge, Skills & Abilities:

  • Excellent verbal and written communication skills
  • Strong attention to detail, problem-solving skills, and ability to be a team player
  • Strong analytical skills, self-motivation, creativity and the ability to work with minimal supervision
  • Ability to work and communicate well with all levels of faculty and staff, with students, and their parents
  • Ability to maintain confidential information
  • Flexibility, maturity, and a sense of humor
  • Commitment to diversity, equity, and inclusivity
  • Proficient at working in a Microsoft Windows environment, using Office, including Outlook; ability to master common automated systems for record keeping, and confidently learn new technology; Experience with school-focused technology (Veracross) is a plus
  • Ability to talk on the phone
  • Ability to sit and keyboard up to 8 hours per day

Compensation & Benefits:

Pay range $29 to $33 per hour depending on experience.
